DEFINITION

Under the direction of the Director of Development, the Development Associate is responsible for database management, prospect research, event support, and Donor services. The Associate assists with Linfield Christian School’s (LCS) Donor/Constituent database, building and supporting an Alumni/Alumni Parent program, gift processing and event coordination. 

ESSENTIAL FUNCTIONS

Database & Prospect Management

* Design processes to ensure database integrity and accuracy, which includes entering all new constituents, updating/editing records, and managing queries & exports for accuracy and consistency
* Design and implement systems for tracking and reporting revenue 
* Manage mail and email queries as well as mailing lists and email blasts 

* Maintain accurate information on prospects and donors to help donor identification, cultivation, solicitation, and stewardship strategies
* Proactively identify and rank new prospects and create updated donor profiles
* Conduct online research and utilize research tools available to assess donor capacity and interests
* Evaluate research tools to remain current on emerging technologies

Donor Analytics

* Work with the Development team on annual giving strategy and donor segmentation
* Manage Class Captain portfolios and Annual Giving donations & participation percentages
* Provide necessary financial charts for Board reports
* Produce year-end analytics on donors, revenue, and tactics to track and evaluate fundraising strategies

Gift Processing

* Enter all gifts (cash, credit card, stock, online, payroll deductions, and in-kind) into database and process thank you tax letters
* Work with finance department to reconcile projected revenue with actual revenue
* Process monthly recurring/pledge gifts on the 15th of each month 
* Update online giving page as necessary
* Reconcile donations in database at the end of the Spring Auction

Donor Services

* By January 31 of each year, create and mail all donors a year-end “Annual Giving Statement Report” 
* At the end of each Fiscal Year (June 30), check for any outstanding pledges and reconcile with finance 
* Ensure all Donors are called within 48 hours of making gift and thank you letters are mailed within 4 days
* Support Annual Giving and Auction as needed
* Other duties as assigned.

Events

* Responsible for coordinating and managing all aspects of the events, including Auction, Pigskin Classic, Linfield Christmas, Annual Giving Kick-Off, March Madness, etc.
* Oversee entire Spring Auction – creating vision, budget, recruiting volunteers, developing theme, creating invitation, securing location, tracking donations.
* Work with Development team to market, organize and run all small and large Development events
* Help negotiate and secure vendor contracts

EMPLOYMENT STANDARDS

KNOWLEDGE REQUIREMENTS

* Knowledge with “Greater Giving” auction software.
* Proficient in Microsoft Office Suite, especially Microsoft Word & Excel.

ABILITY TO

* Demonstrate understanding of the correct use of punctuation, spelling, grammar and math.
* Maintain strict confidentiality.

EDUCATION

* High School diploma or GED.

EXPERIENCE

* Event fundraising experience preferred.

The usual and customary methods of performing the job’s functions require the following physical demands: Significant fine finger dexterity. Generally, the job requires 75% sitting, 15% walking, and 10% standing. This job is performed in a clean and healthy environment.
